- Your information is secure. Only appointed board members of Roslyn Boys & Girls Club have access to rbgc.clearances@gmail.com. Your documents will not be printed and will not be stored in a physical location.
Child Protection Policies
The Roslyn Boys & Girls Club encourages its volunteers to follow these child protection policies:
- It is a good rule never to be alone with a child. Always have at least two volunteers present at all times for every group of children.
- Volunteers supervising children should not release a child to anyone who is not authorized by the child’s parent or guardian.
- Volunteers should not transport one single child without another adult in the car, unless a parent/guardian has been notified prior and given permission.
- When transporting children in small groups or as individuals, demonstrate concern for their safety by: adhering to agreed upon schedules; assuring that the destination and itinerary is clear ahead of time and adhered to; promptly notifying parents/guardians of any changes in plans.
Communications Policy
- Roslyn Boys and Girls Club distributes bulk email through our SportsConnect account to the email addresses of users who are registered through that platform.
- Roslyn Boys and Girls Club discourages its coaches from communicating with their teams via third party texting applications. Instead, the organization encourages coaches to communicate via email and/or SMS due to their enhanced security settings. Any communication to parents and/or players should be free of offensive language and/or content.
Media Policy
Participation in Roslyn Boys and Girls Club activities implies permission for publication of any media recorded, in both print and online formats, unless an email indicating your wish to opt-out is sent to the club. This applies to anyone, both minors and adults, who attends and/or participates in our activities, including sports events. No identifying information will accompany photos, including names, addresses, email addresses, family members’ names, or schools. Anyone may request a particular media item which prominently features them or their minor children be removed from use by emailing the club. If you submit images to be used by Roslyn Boys and Girls Club you are giving the club the right to use the photos (these images must not contain any copyrighted material without permission).
Background Checks
To comply with the laws of the Commonwealth of Pennsylvania (Title 23 §6344.2), all volunteers associated with the Roslyn Boys & Girls Club who have direct contact with children (the care, supervision, guidance or control of children and/or routine interaction with children) or who are responsible for the welfare of a child (acting in lieu of or on behalf of a parent) need to have on file with the organization the following documents:
- a PA State Police Criminal Record Check,
- a PA Child Abuse History Certification, and
- a signed affidavit stating they are not disqualified from service based upon a conviction of an offense under §6344(c). Download and sign the affidavit: click here.
If you have these documents already (for employment or from volunteering with another organization), you may supply copies to the Roslyn Boys & Girls Club. Email a digital copy of your documents to: rbgc.clearances@gmail.com. If you do not have these documents, please complete these steps:
To obtain the PA State Police Criminal Record Check:
- Go to PATCH (Pennsylvania Access to Criminal History) and click on “submit a new record check.”
- Select “New Record Check” (Volunteers Only) in the middle of the screen.
- After reviewing the Terms and Conditions of Use, check “Volunteer Acknowledgement” and “Accept” at the bottom of the screen.
- Enter “Roslyn Boys & Girls Club” as Volunteer Organization name.
- Follow the prompts.
- You may receive an immediate “No Criminal Record” response or “Under Review” response. Check the website frequently until your receive a “No Criminal Record” or “Criminal Record Found” response. If you receive a “Criminal Record Found” response, the results will be mailed to your home.
- Print a copy of the “No Criminal Record” results and send a digital copy to rbgc.clearances@gmail.com. If you have a “Criminal Record Found” response, print a copy and send a digital copy to rbgc.clearances@gmail.com.
To obtain the Pennsylvania Child Abuse History Certification:
- Go to the PA Child Welfare Portal.
- Create an account.
- Follow the prompts and be sure to select “Volunteer” to avoid paying a fee.
- Submit your certification application online.
- Print a copy of the results and send a digital copy to rbgc.clearances@gmail.com.
A volunteer who has been a continuous resident of Pennsylvania for the past 10 years needs to submit an affidavit stating they are not disqualified from service based upon a conviction of an offense under §6344(c).

- Send a digital copy of the signed affidavit to rbgc.clearances@gmail.com.
A volunteer who has not been a continuous resident of Pennsylvania for the past 10 years needs to provide a fingerprint based federal criminal history (FBI) submitted through the Pennsylvania State Police or its authorized agent.

- Enter the service code 1KG6ZJ (this is the code for volunteers).
- Follow the prompts.
- An unofficial copy of your results will arrive in the mail. Send a digital copy of your results to rbgc.clearances@gmail.com.
